Add Dashboard Widgets

Make the Smokeball dashboard work for you by adding widgets to keep track of important tasks, leads, and activities. 

This article will go into detail on widgets available in our Widget Library. You can also customise your dashboard by moving widgets around and adding new dashboards.

Note: Only you can see changes made to your dashboard. Changes you make on the dashboard customisation screen are not visible to other users in your firm.

How to add widgets to your dashboard

  1. Select Customise from the top-right corner of the dashboard to enter the layout customisation screen.
  2. Select Add Widget and choose the widget you need for the Widget Library window.
  3. Customise the size, colour, display style and more as required.
  4. Select Save.

Customise widget appearance or date range

Most widgets have additional settings to further configure how they look and what time period they pull from. To view widget settings, select the three dots on the top-right corner of the widget.

Resize a widget

Widgets can be resized to make room for more widgets on the dashboard or to improve how it looks. Drag the bottom-right corner of a widget to resize it.

Activity Timeline

The Activity Timeline widget graphs your activity for the day, week or month and breaks down the duration you spent on each activity.

What can you customise?

Amounts

Use the Amounts widget to assess your firm's performance and profitability. You can use this widget to track the amount of billable and non-billable time entries logged for the specified period, alongside its pound value.

  • Colour of 'Non-Billable Amounts'

    • Today
    • Yesterday

Assigned Matters

Use the Assigned Matters widget to see how many matters a staff member is assigned to.

What can you customise?

  • Colour of the strip above the widget name
  • Display Name
  • Widget display style:
    • Number
    • List
  • Matter Status (e.g. Open, Pending, Closed, Cancelled, Deleted)
  • Staff Member(s) assigned
  • Matters, Leads, or both
  • Include Staff assigned as:
    • Matter Fee Earner
    • Person Assisting
    • Tagged staff members
Completions

Use the Completions widget to easily track your completions that fall on a particular day, week, or month. The information is pulled from data entered in the Property Details and Completion Details screens for Conveyancing and Commercial Property matters.

What can you customise?

  • Colour of the strip above the widget name
  • Widget display name
  • Assignee Staff Member(s)

Note: 'Assignee' will return matters for the selected staff who are assigned to the matter as Matter Fee Earner, Person Assisting, or a Tagged staff member.

Daily Digest

The Daily Digest widget shows your events, tasks, and phone messages for today. You can also adjust the day and check other staff members' daily schedules.

Hours

Easily keep track of your hours using the Hours widget. Once enabled, the Hours widget displays your number of billable and non-billable time entries logged for the specified period.

  • Colour of 'Non-Billable Amounts'
  • Date Range - filter to show:
    • Today

Intake

The Intake Forms widget shows a list of intake forms created and submitted in a specified time frame.

What can you customise?

  • Colour of the strip above the widget name
  • Display Name
  • Widget display style:
    • Number
    • List
  • Time frame
  • Intake Form status (e.g. Unshared, Shared, Completed, Closed)
  • Matters, Leads, or both
Leads with No Activity

Use the Leads with no activity widget to see all open and pending Leads that have not had any work done within a certain timeframe. This widget will help to keep on top of your leads and not let any fall through the cracks.

What can you customise?

  • Widget display style:
    • Number
    • List
  • Date range/timeframe of inactivity
  • Ascending sort
Matters with No Activity

Use the Matters with no activity widget to see all open and pending Matters that have not had any work done within a certain timeframe. This widget will help to keep on top of your matters and not let any fall through the cracks.

    • Number

  • Date range/timeframe of inactivity

My Recent Activity

The My Recent Activity widget shows the last 15 actions you completed in Smokeball. This includes opened leads/matters, attended events, completed tasks, documents, memos, emails, messages, intake forms, Archie activity and matter admin.

  • Display Name
My Recent Documents

The My Recent Documents widget shows you 15 of the most recent documents that you have saved changes in.

What can you customise?

  • Colour of the strip above the widget name
  • Display Name
My Recently Viewed

The My Recently Viewed widget shows a list of all recently viewed matters and leads so you can quickly jump back to the matters you have been working on.

What can you customise?

  • Colour of the strip above the widget name
  • Display Name
New Leads

The New Leads widget shows all new leads created in a specific timeframe.

What can you customise?

  • Colour of the strip above the widget name
  • Display Name
  • Widget display style:
    • Number
    • List
  • Time frame for new leads
New Matters

The New Matters widget shows all new matters created in a specific timeframe.

What can you customise?

  • Colour of the strip above the widget name
  • Display Name

Stages

Use the Stages widget to see all matters in a stage set, sorted by how far along the stage set they are. You can quickly tell if too many matters are being bottlenecked at a certain stage, or if there aren’t enough leads being converted into matters.

Note: When using this widget in a dashboard, you can change to view another stage set by selecting from the drop-down menu, or change which Fee Earner(s) to view matters for at any time, without having to reconfigure the widget.

Stages KanBan Board

The Stages KanBan Board helps you organise matters more efficiently by providing a centralised view of matters grouped by stage. Easily update a matter’s stage by dragging and dropping the matter card into the desired stage column. Any changes made on the Kanban Board are automatically reflected in the individual matter as well.

Tagged Matters

Use the Tagged Matters widget to visualise how many matters and/or leads are associated with the selected tag(s).

  • Matter Status (e.g. Open, Pending, Closed, Cancelled, Deleted)
  • Which Tag(s) to display
Web Enquiries

The Web Enquiries widget shows a list of web enquiry forms that have been submitted in a specified time frame.

  • Display Name
  • Widget display style:
    • Number
    • List
  • Time frame

Did you know...

  • You can add multiple widgets of the same type with different filters (e.g. staff member, date range, display style, etc), to highlight the key information that you want to see at a glance.
  • You can create multiple dashboards (up to 5), each focussed on differed insights. For example, you might set up an admin dashboard to highlight key business and billing metrics, while your Fee Earner dashboard could display recent activity, daily tasks, and matters with no activity to help keep on top of your daily work.
