Analyse bank statements with Archie

Learn how to use the Bank Statement Analyser Archie App to save time analysing multiple bank statements. This App can help you trace spending, flag unusual expenses, or prepare disclosure material without needing to manually tag data.

Uploading the bank statements to Archie

To get started:

  1. Open a matter in Smokeball and ensure you have bank statement PDFs in your matter files.
  2. Select the Archie tab and then select Apps. 
  3. Find Bank Statements Analyser under the Explore Apps section on the left menu, then select Use App.

  4. Select Add bank statements on the top-right corner of the screen, then select Browse.

  5. Choose one or more PDF bank statements in the matter, then click Select.

  6. Choose what Archie should be looking for in these bank transactions. You can also add keywords to the list by entering the word in the text field and selecting Add.

    • (For Family Law) Tick Financial Statement - Part N if you would like Archie to try and flag transactions that may be related to the FCFCOA Financial Statement - Part N.
    • If needed, you can indicate which pages of the uploaded bank statements should be analysed in the Select pages to process field.
  7. Select Analyse statements. Archie will take some time to upload and extract transactions from the bank statements. Do not exit this screen while it is uploading.

  8. Once Archie gets to the Files are being processed... stage, you are free to leave and come back at any time; it will continue to run in the background.

  9. Once Archie is done, your bank statements will appear in the Uploaded files tab. 

Reviewing the Bank Statements

The Review transactions tab operates as your "workspace" for the uploaded bank statements. 

Click on the column headings to sort the data, and click on a transaction to view its position in the bank statement PDF.

You can complete the following actions on this page:

  1. Type a keyword in the search bar to search the transactions in the list that list the keyword.

  2. Select Ask Archie to ask a question about the data in the bank statements. 

  3. Select a Date range to narrow down the list of transactions displayed on the table and graph (item 8).

  4. Specify a minimum and/or maximum transaction amount to display in the list.

  5. Select the transaction type to display in the list.

  6. Choose an indicator to filter the list to display transactions with that indicator applied to it.

  7. Select bank statements to include or exclude in the displayed list.

  8. Select Show graph to view a column graph of all transaction dates in the specified date range.

  9. Export the list of transactions to an Excel spreadsheet, which can also be accessed from the matter's documents list.
    • An Excel spreadsheet of all transactions uploaded to the Bank Statements Analyser is automatically created during the upload process as well.
