Create a Chronology using Archie

Learn how to use the Legal Chronology Archie App to create a legal chronology from existing files in your matter.

Important Note

The Legal Chronology Archie App can process documents up to 200 pages long and is not recommended for generating medical chronologies.

To get started:

  1. Open a matter in Smokeball.
  2. Select the Archie tab and then select Apps. 
  3. Find Legal Chronology under the Explore Apps section on the left menu, then select Use App.

Creating a new Chronology

To create a new Chronology:

  1. Select Add Files.

  2. Click Browse to select the documents (.docx or .pdf)  in the matter that will be used.

  3. Tick the event types that Archie will be looking for in these documents. You can also add your own to the list by typing in the text box and selecting Add.

  4. Confirm the selected files are correct, then select Process.

  5. Archie will take some time to upload the data in the documents. Do not exit this screen while it is uploading.

  6. Once Archie gets to the Files are being processed... stage, you are free to leave and come back at any time; it will continue to run in the background.

  7. After uploading and processing, Archie will begin to compile the chronology.

  8. Once the process is complete, select Review.

Reviewing the Chronology

The Review Chronology tab contains all dates that Archie has picked up from your selected documents. You can complete the following actions on this page:

  1. Select Add Event to manually add a date to the list.
  2. Use the Search bar to search through the descriptions.
  3. Select a Date range to narrow down the list of events shown in the table and on the Timeline (item 9).

  4. Select a Status to filter events by.

  5. Select a state of Relevance to filter events by.

  6. Select which Event Types to filter events by.

  7. Choose to exclude or include source documents to narrow down the list of events.
  8. Export the list of events to a Word document.
  9. View a visual Timeline of all events, or a specified date range.

  10. View the files that have been uploaded to this chronology.
  11. Upload more files from your matter to this chronology.

Editing or deleting an event in the Chronology

You can amend or delete events in the Chronology if they have been inaccurately processed by Archie, or if they are irrelevant. Simply click on the area you would like to edit and make your amendments.

To delete an event from the chronology, select the X icon on the right-most column. Note that you cannot restore a deleted event; if you need to restore it, you will have to manually create it again using Add event.

Verifying the sources of an event

To view the document reference of an event, click on the document icon under the Source column. This will open a preview of the document to the relevant page. This is useful to verify if unknown dates were parsed incorrectly.

If there are multiple references to the same date, select the link icon under the Source column to view the page numbers of the relevant documents. Click on the document icon to preview the document at the relevant page.
