Learn how to view and edit AutoTime entries captured by Smokeball to ensure you're billing for the right work.
How to View AutoTime entries
To view all entries for a particular day, select the Time & Cost Recoveries tab on the Smokeball desktop app.
The Time & Fees tab is essentially your timesheet, and by default, it will display all time entries for today's date for the current user. Click on the date to select another date to view, or select a date from the timeline at the bottom of the screen.
To change the user you are viewing, select the name of the current user, located next to the date.
You can also view AutoTime entries related to a specific matter by opening the matter, then selecting the Time & Cost Recoveries tab from the matter window.
Edit an AutoTime entry
To edit an entry, select it from the list, then make the necessary changes on the right panel. You can also double-click on the entry to edit it in a new window.
You can edit any AutoTime entry at any time, until it is included in an invoice. Once an entry has been included in an invoice, the invoice number will be displayed on the Billed? column.
Manually finalise pending entries
AutoTime usually runs overnight, but you can also manually run AutoTime if needed. This might be helpful when:
- You need the entries sent to Smokeball Billing immediately and do not want to wait for AutoTime to run overnight; or
- If you have added activities retroactively that were not included in previous AutoTime runs.
To manually finalise AutoTime entries:
- From the Time & Cost Recoveries tab, select Review AutoTime.
- Select Auto create time entries now.
- Select the Date you want to finalise entries for.
- Select Run.
AutoTime will run, and the previously Pending entries will be finalised and sent to Smokeball Billing. You will also receive the AutoTime Report email, just as you would normally from the overnight run.
Delete an AutoTime entry
To delete an AutoTime entry, right-click on the item and select Delete Fee.
Add activities not tracked by AutoTime
AutoTime takes the activities tracked by Activity Intelligence and converts them into time entries. Some tasks that you complete – such as those performed outside of Smokeball – may not be tracked automatically, but can still be included in AutoTime by manually adding the activity.
Once saved, a manual activity will be included in your AutoTime run just like automatically tracked activities. You can also run AutoTime for a previous date to include manual activity entries that were missed in earlier AutoTime runs. Learn more about adding an Activity.
Reviewing finalised entries in the Smokeball Web App
Once entries have been finalised, they will appear within the Smokeball Web App. To view entries across all matters, select Time/Fees from the left menu.
To view entries related to a specific matter, open the matter file, then navigate to the Time & Fees tab.
