When you send an email from Smokeball, the email will appear linked to the Smokeball matter and any replies to the email will automatically save to the same matter, as long as Outlook is open at the time that the reply email is received.
Use the Smokeball Scan Emails tool in Outlook to help find and link any reply emails received out of hours or when Outlook is closed, that have not automatically saved to the matter in Smokeball.
How to access the tool
The Scan Email tool can be found by right-clicking on any folder within your Outlook mail account.
Once you click on Smokeball - Scan Emails.., a box will appear, allowing you to select multiple filter options about the following:

What email folders do you want to scan?

What date range of emails do you want to scan?
Try and select specific folders for the tool to run more efficiently. Once you select the appropriate folders and date range, click Scan on the bottom right of the window.Â
Important Notes
- When running this tool, Outlook will become unresponsive for some time so consider running this tool after hours or overnight.
- Large inboxes may render Outlook unusable while the scan tool is running. Do not attempt to force-close Outlook.
Once the tool is complete, it will show a summary of how many emails were scanned and corrected.
