Version 9.17 of the Smokeball Desktop App contains the following new features and refinements.

New features

Measures to prevent duplicate contacts from being created

We have made some changes to contact selection on a matter and the process on creating a new contact:

  • When adding a contact as a party in a matter, the window that appears will default to a contact picker to select an existing contact. If the contact doesn't exist, click Create a new contact to proceed with adding them to Smokeball.

  • When entering the email address or phone number of a new contact, the system will search for any exact matches that already exist in your Contacts database. If there's an exact match, it will appear as a drop-down, allowing you to select the existing contact. This can be ignored if the phone number or email does indeed belong to a separate contact.

  • Right-clicking on a party in Matter Details now displays Add [party to the matter] instead of Add an existing [party to the matter].

  • The wording around editing an existing contact has been updated to distinguish it from the screen to create a new contact.

Refinements

Staff registration improvements

We have made the following improvements to the process in adding a new staff member/user to Smokeball:

  • The expiry date on registration links via email has been extended from 3 to 7 days.
  • The UI has been updated.

Faster loading for Tasks that are linked to Workflows

Tasks that have triggers connected to Due Dates and/or Assignees in a Workflow (e.g. linked to a matter's Settlement Date, another task's Completion Date, or to the Person Responsible) now update instantly when a user edits the source data.

Notable bug fixes

  • Fixed an issue where the Billing widget was not displaying on Leads.
  • Fixed an issue where duplicating workflows created duplicate tasks that were still linked to the original workflow.
  • Pressing Ctrl+S or the disk icon on a Word document or Excel spreadsheet specifically opened from the PC's local drive will no longer save changes back to the matter.
  • Fixed the behaviour in New Outlook where users have to manually click on the Edit (Pencil) icon in order to create a draft email.
