Smokeball Reports Overview

Smokeball features many powerful reports which can be used to optimise your firm’s work routines, keep track of your deadlines, or maintain strong relationships with your clients.

Smokeball provides over 50 reports and dashboards for productivity, billing, and firm insights data. The following list outlines the available reports you can access upon joining Smokeball.

Accessing Smokeball desktop reports

To view reports on Smokeball desktop:

  1. Select Reports from the left menu.
  2. Select the report you want to run and add filters to customise it.
  3. After generating a report, you can export it by saving it to your computer in various file types, such as .CSV or PDF. You can also print the reports.

Matter reports

Matter – Full List

Use this report to generate printer-friendly readouts of all your matters. This report is fully filterable by criteria such as matter opening date, matter type, matter status, assigned staff, or even organise your reports using your custom tags. Additional options allow you to include the other side, branch details, and more.

This report shows your matter’s referrals. This report also includes a billing amount column which can be used to help calculate referral fees. You can apply date range filters and use the Group By filter to organise the report by referral type or referrer.

Use this report to generate a list of closed matters that have been archived. The 'Report For' filter can be used to refine what you are looking for within your date range, for example, 'Date Archived' within a particular period.

Client – Verification of Identity

This report generates a list of all client names that have a VOI date and allows you to filter them to just overdue, ones due shortly (2 months and 4 months), or see all. Alternatively, select "Client w/o VOI Data" from the display filter to view clients without any VOI data.

Use this report to track matter lifecycles from Lead to conversion to a Matter, allowing you to calculate conversion rates, how long it takes to convert Leads to Matters, and from that data identify any trends in the reasons why Leads don’t convert.

Also known as a 'Document Register', this report provides you with a record of all documents that your firm holds on behalf of clients and their storage information. The report includes external packet and document references, for safe custody that is held by an external third party.

Accessing Smokeball billing reports

On the Smokeball Web App you can generate reports that manage all aspects of the billing cycle, including client account, invoicing, matter overview, and time/expense reports.

To view Smokeball billing reports:

  1. Select Reports from the left menu.
  2. Select the report you wish to run, then use filters to customise your view.
  3. Once you generate a report, you can export it as a PDF or CSV file, or print it.

A - H

Account Balances

This report shows a financial summary of all matters. This includes total billed and paid, unbilled and unpaid, cash retainer, client account balance, write-offs, and discounts. Use this report to manage risk, improve cash flow, and see which accounts have funds in the operating retainer.

Account Statements

This report shows all fees and expenses entered, Invoices History (all invoices created), Invoice Summary (invoice subtotal amount, discount, the amount paid etc), Account Summary, Client Account Transaction History, and Account Ledger (record of invoices issued and payments made) within the selected report period.

Accounts Receivable

This report shows all invoices issued for all matters within the report period. Information provided includes the due date, the number of days overdue, the amount paid, the amount waived and the total due.

Aging Summary

A report showing a summary of unpaid invoices that are aging, ranging from 1-90 days and beyond. Use this report to determine the amount of time invoices have remained outstanding.

Audit Logs

A report showing creations, additions, deletions, and amendments of client and matter information in Smokeball Billing.

Cash Book Payments

A report showing all the client account payments made within the selected report period.

Cash Book Receipts

A report showing all the client account deposits made within the selected report period.

Client Account Receipts

Shows all the client account deposits received within the selected report period.

Client Account Statements

This report is designed for client accounting compliance. It allows a firm to create a Client Account Transaction report for a single matter or all matters for a specific time period.

Credit History

A report showing all credits added and applied to your invoices and matters.

Designated Client Account Listing

A report showing all entries in designated client account up to a selected date.

Dormant Client Balances

This report provides a list of client account balances that are dormant or approaching dormancy.

I - M

Income Allocation

A time and payment report showing the breakdown of income allocation against matter type, area of law, person responsible, timekeeper or client. Use this report to help with compensation plan calculations and determine how much time was billed in a given timeframe.

Invoice History

A report showing all invoices generated within a time period. You can group the history by matter, contact, lawyers, or area of law. Use this report to see a list of invoices generated during any month.

Journal Transfers

Shows all the journal transfers made within the selected report period.

Ledger Export

Shows the invoices issued and payments made within the selected report period.

Matter Balances

Shows the client account balance, unbilled amount, billed amount, written-off amount, discount amount, the amount paid, the amount waived and balance upon for each matter (if there are funds in client account and unbilled/unpaid amount, the balance will be the client account balance minus unbilled/unpaid amount)

N - Z

Overdrawn

A report showing any overdrawn amounts in client account by matter.

Time and Cost Recovery Entries

Shows billable, non-billable, unbilled and billed hours and value of fees as well as billable, non-billable, and unbilled expenses of each staff within the report period. VAT is not included in this report.

Trial Balance

Shows the client account balances in each matter within the selected report period.
