Use Firm Insights Dashboards

Smokeball has powerful yet intuitive and easy-to-digest Dashboards to help you with the business side of running a small law firm.

Each report gives you different insights into the health of your law firm.

Access Firm Insights Dashboards

Dashboard Reporting is located in Firm Insights. When you select Firm Insights from the home screen, Dashboards will be your default view.

Firm Insights are only available for Firm Owners on Smokeball Prosper. If you need Firm Insights access, contact your Client Success Manager or submit a ticket.

All Firm Insights Dashboards are pre-made and pre-populated automatically with data from your matters.

Dashboard Types

New Business Insights

Use this report to analyse firm trends. You can quickly understand what matters have been opened in the past week, month, and year to look for trends.

If you find yourself asking the following questions, this report can help:

  • How many matters did we open recently? Last 12 weeks? 12 months? 3 years ago at this time?
  • Which attorneys created new matters? 
  • What areas of law and referrals came in over the last 30 days?

The New Business Insights report also breaks down your matters by Matter Type, Person Responsible, Person Assisting and Referral Source. You'll have a quick view of what types of clients and matters are coming in.

Conveyancing/Settlement Insights

For Conveyancing matters, you can have a clear view of the following information:

  • Total scheduled settlements by matter type and person responsible
  • Scheduled settlements by day in the next 30 days
  • Scheduled settlements by week in the next 3 months
  • Scheduled settlements over the next month
  • Scheduled settlements by location and client
  • Settlements by Day of the week on a 90-day average

Smokeball Activity Insights

Smokeball Activity Insights takes a deep dive into how your firm is using Smokeball. This usage reporting includes how many matters and files are stored, documents are automated, emails, tasks, events, mobile app usage, and fees.

Use this report to understand what features you are utilising and not using in Smokeball. Smokeball is a very powerful program that can positively impact your practice's profitability.

If you are not using a particular feature, reach out to your Client Success Manager for training on how that feature can help your practice.

New Matter Insights

New Matter Insights takes the referral source of your matters and helps you understand your top referral sources and referrals.

Use this report to understand better what referral resources or particular people help get clients walking through your door. This report can help you understand where to spend money on advertising, marketing, etc.

Lead Insights

Lead Insights presents the number of leads opened, closed, or converted over 30 days. It also presents the total number of open leads, conversion rates, and reasons lost.

Use this report to understand better what referral resources or particular people help get clients walking through your door. This report can help you understand where to spend money on advertising, marketing, etc.

Hourly Billing Performance

Hourly Billing Performance allows you to review the average daily billing performance of the firm and its users.

Use this report to understand better what work has been billed daily and how many billable hours have been lost.

This report will include all staff not designated as Receptionist or Bookkeeper, summarising Activity tracked by Smokeball. All statistics in this report are daily averages. The column headers are explained in the menu below. 

Average Daily Billing Performance Definitions
  • Rate: Amount entered as fee earner's top level rate -- not on individual matters where the rate is overridden
  • Days Worked: Count of days the fee earner has any time recorded via Activity (no minimum threshold)
  • TB:AutoTime: Time tracked, on average, per days worked in matters labelled as time based
  • TB: Billable Time: BILLABLE time tracked, on average, per days worked in matters labelled as timebased
  • FF:AutoTime: Time tracked, on average, per days worked on matters labelled as fixed fee
  • FF:Fees Billed: Dollar amount on a finalized bill on fixed fee matters on fees attributed to that employee
  • FF:EquivHours: The amount of time the fixed fees billed are equivalent to
  • Total Worked: The sum of TB:AutoTime + FF:AutoTime (may have minor rounding discrepancies)
  • Total Billable: The sum of TB:BillableTime + FFEquivHours (may have minor rounding discrepancies)

Extracting data from Dashboards

You can mouse over the upper right-hand corner of each table, chart, or pane and select the three-bar icon to download the data or image.
