The email scan tool is an option in Outlook that automatically scans your Outlook inbox and validates emails that should be linked to matters in Smokeball. The tool will assist in attaching emails that may look like they should be but are not yet linked to a matter in Smokeball.
This tool aims to help you resolve issues where emails were not attached to matters correctly after a recent issue with Outlook.
How to access and use the tool
1. The Scan Email tool can be accessed by right-clicking on any folder within your Outlook mail account and clicking the Smokeball - Scan Emails option.
2. A pop-up window will appear, allowing you to select multiple filter options to set the scan conditions.
This is the menu with checkboxes visible on the left of the pop-up.
- Please select folders from the menu based on which email folders you want to scan and the date range you want to scan for.
- We recommend selecting specific folders so the tool can run more efficiently.
3. Once you select the appropriate folders and have set the date range for the scan, click the Scan button on the bottom right of the window to begin the scan.
4. Once the tool has completed the scan, it will show a summary of how many emails were scanned and corrected.
Important Notes
- When running this tool, Outlook will become unresponsive for some time and shouldn't be used.
Please consider running this tool after hours or overnight so it doesn't impact your work. - Large inboxes may render Outlook unusable while the scan tool is running. Do not attempt to force-close Outlook while a scan is being completed.
