New features

MYOB Integration

The MYOB Integration now supports the ability for Smokeball Billing to create invoices in MYOB and apply payments, discounts, credit notes, interest and surcharges into MYOB.

Mappings for bad debts and interest charges have also been added to the integration.

Income Allocation - Summary Report

The Income Allocation Report has been redesigned to be more highly-customisable and dynamic.

The following filters are available for this report:

  • Payment date range (required).
  • Run report by the choice of Matter Type, Area of Law, Person Responsible, Timekeeper and Client
    • By default, this is set to Timekeeper.
    • The same options exist for the Subtotal filter as well as <None>. If selecting a subtotal filter the information displayed by the Run By filter will expand to include the Subtotal By information.

  • Show Percentage - True or False.
    • If True is selected, the percent of the Run By selection will total 100%. If a Subtotal is also selected, then the Subtotals within the Run By selection will total 100%.

The following columns are displayed in the report:

  • Run By column - This is based on what is selected in the Run By filter.
  • Subtotal By column - This is based on what is selected in the Subtotal filter.
    • This column will not show if <None> is selected in the Subtotal filter.
  • Disbursements Collected
  • Percentage of Disbursements
    • This column will only show if Show Percentage is set to True.
  • Fees Collected
  • Percentage of Fees
    • This column will only show if Show Percentage is set to True.
  • Total Collected
  • Percentage of Total Collected
    • This column will only show if Show Percentage is set to True.

Important Notes:

  • Partial payments for an invoice are applied pro-rata across fees and disbursements.
    • Waived amounts are also considered partial payments. 
  • Discounts are applied to fees only.
  • Interest, surcharges and credits are excluded.
  • The subtotal filter (other than <None>) reflects the percentage of the group, not the total for the report.
  • This report will replace the current Income Allocation Report.

Income Allocation - Detail Report

This report breaks down the information provided in the summary report even further to show the payments on a matter level, invoice level or payment level. This will help your firm check if payments were applied correctly.

The following filters are available for this report:

  • Payment date range (required).
  • Run the report by Matter Type, Area of Law, Person Responsible, Timekeeper, Client or <None>.
    • By default, this is set to <None> which will not group the information.
    • The same options exist for the Subtotal filter. If selecting a subtotal filter the information displayed by the Run By filter will expand to include the Subtotal By information.
  • Filtering by Person Responsible and Timekeeper will allow you to restrict the data displayed on the report to staff selected within these filters.

    • These will all default to all staff selected.

    • More than one staff member can be selected per filter.

  • Level of Detail will provide how far the information is broken down in the report.

  • <None> will total all payments on the matter by timekeeper allocation.

  • Invoice will total all payments to invoices by timekeeper allocation.

  • Invoice & Payment will total all payments by individual payment by timekeeper allocation.

  • The Invoice & Payment option will show the most information since matters can have multiple invoices and invoices can have multiple payments.

The following columns are displayed in the report:

  • Matter Number
  • Client
  • Matter Type
  • Matter Description
  • Person Responsible
  • Timekeeper
  • Invoice Number
    • Only shown if Matter & Invoice is selected
  • Payment Date
    • Only shown if Matter, Invoice & Payment is selected
  • Disbursements Collected (excl GST)
  • Fees Collected (excl GST)
  • Total Collected (excl GST)

Important Notes:

Billed Fees & Disbursements - Summary Report

This new report provides a highly-customisable view that shows what area in your firm is billing the most.

Gain valuable insights into the areas of law, matter types, clients, timekeepers, referrers, or persons responsible that perform the best and worst. You have the freedom to select what to analyse.

The following filters are available for this report:

  • Invoice date range (required).
  • Run report by choice of Matter Type, Area of Law, Person Responsible, Timekeeper, Client or Referrer.
    • By default, this is set to Timekeeper.
    • The same options exist for the Subtotal filter as well as <None>. When you choose a subtotal filter, the Run By filter will display additional information including the Subtotal By details.
  • Show Percentage - True or False.
    • If True is selected, the percent of the Run By selection will total 100%. If a Subtotal is also selected, then the Subtotals within the Run By selection will total 100%.

The following columns are displayed in the report:

  • Run By column - This is based on what is selected in the Run By filter.
  • Subtotal By column - This is based on what is selected in the Subtotal filter.
    • This column will not show if <None> is selected in the Subtotal filter.
  • Disbursements Billed
  • Percentage of Expenses
    • This column will only show if Show Percentage is set to True.
  • Hours Billed
  • Fees Billed
  • Percentage of Fees
    • This column will only show if Show Percentage is set to True.
  • Total Billed
  • Percentage of Total Billed
    • This column will only show if Show Percentage is set to True.

Important Notes:

  • Discounts only apply to fees billed.
  • Write-offs and non-billable entries are not included in this report.
  • The Subtotal filter reflects the percentage of the option that is chosen in that filter (e.g. Timekeeper) and does not reflect the total for the whole report.
