Sending Letters to the Purchaser/Transferee in a Conveyancing matter

When sending a letter to the Purchaser/Transferee in a Conveyancing matter, you can select which mailing address to use for the Purchaser/Transferee at a particular stage of the conveyance.

There are three possible mailing addresses you can use for the Purchaser/Transferee:

  1. The Current Residential or Postal Address on the Contact Card;
  2. The Forwarding Residential or Postal Address on the Contact Card; or
  3. The Property address.

In Conveyancing matters the Property Details layout has an option to select the Service Address for the Purchaser/Transferee with the following:

  • Purchaser/Transferee at Property Address - for when the Purchaser/Transferee will reside at the Property address.
  • Purchaser/Transferee at Contact Address - for when the Purchaser/Transferee will not reside at the Property address i.e. it is an investment.

When writing a letter to the Purchaser/Transferee, Smokeball will check which selection has been made and automatically address the letter as follows:

  1. When Purchaser/Transferee at Property Address is selected and you write:

    1. Before the Settlement/Adjustment Date 
      The letter will automatically use the mailing address on the Contact Card.
    2. From Settlement/Adjustment Date 
      The letter will automatically use the Property address entered on the matter.

    Upon finalisation of the matter, we recommend that the Contact Card is updated with the Property address.

  2. When Purchaser/Transferee at Contact Address is selected, the letter will automatically use the mailing address on the Contact Card.

How does the mailing address work in Smokeball?

Smokeball will determine the mailing address in the following order:

  1. When a Forwarding address is entered, it will use the Forwarding address Postal address first, otherwise it will use the Residential/Street address. 

  2. If only the Current address is entered, it will use the Current Postal address first, otherwise it will use the Residential/Street address.
