Create an email precedent with matter automation to send as an email

Learn how to create an email precedent that will pull in data from your matter so that you can send it as an email.

By following these steps, it will allow you to create email templates for messages you'd like to send to your clients regularly, which will automate the addition of select matter details into the email message, as well as allow you to save time on composing emails.

Creating an email precedent

  1. Create a new precedent in your Precedent Library that will be linked to your email container.
    By default, an email container has been set up during your firm’s onboarding. If you would like to use a different email container, learn how to create your own
  2. Select the email container from the Container drop-down menu.


     
  3. Select the addressee of the email using the Addressee drop down selection which appears below the Container selection field. 
  4. Click Create. The new precedent will open in Word, in Modify mode. 
  5. Enter the contents of the precedent. Add automation fields from the Smokeball Toolbar in the right-hand panel.



    Note: When editing the precedent, you will not see the text from the container. 
    The text and automated fields you add into the precedent will appear in the spot where the <<Body Content>> automation field was placed into the email container.
  6. Click the Save & Close button to save the precedent to your Precedent Library for future use.


Generating your email precedent in a matter to send by email 

  1. Open the Precedent Library in the relevant matter and double-click on the newly created precedent to open it in Word.
  2. Select Send > Email from the Smokeball menu bar in the top-left.

  3. Select the name of the contact(s) you’d like to send the email to and ensure that the Body Text option is selected before clicking OK.



    A new Outlook email window will open with the text as seen in the generated precedent.
  4. Finish composing the rest of the email and send it once done.
