Exporting Data from Smokeball Using the Data Import/Export Tool

This document explains how to export firm data from Smokeball using the web-based data import/export tool. You will log into the Smokeball web app, access the data import/export area, configure what to export, and download the resulting file.

Step 1: Access the Smokeball Web App and Open Settings

  1. In a web browser, go to https://app.smokeball.com.
  2. Log in with your Smokeball credentials.
  3. In the lower-left corner of the Smokeball web app, click the Settings button (gear icon).

Step 2: Open the Data Import/Export Area

  1. In the Settings area, locate and click Data import/export.
  2. At the top right of the Data import/export page, click the blue Import/Export button.

 

Step 3: Start a New Data Export

  1. In the Import/Export dialog, click Data export.
  2. When prompted for the reason you are exporting, choose an appropriate option (for example, I’d like a backup of my data).

     
  3. Note that, depending on the size of your firm’s data, the export process can take up to an hour.
  4. Click Continue to proceed.

 

Step 4: Choose the Data to Include in the Export

  1. On the data selection screen, choose which data sets you want to export. As you select more items, the export may take longer.

  2. Available options include:
  • Staff
  • Contacts
  • Matters
  • Unbilled time, fees, and expenses
  • Invoices
  • Paid invoices (via a separate toggle)
  • Memos
  • Tasks
  • Or Select all at the bottom to export everything
     
  1. When you have finished selecting data types, click the blue Export button on the bottom right to submit the export request.

 

Step 5: Wait for Export Generation and Download the File

  1. After submission, the status will show that the export has been submitted and is generating. Wait until the export completes.
  2. Once ready, click the Download button to the right of the export entry.
  3. Your browser will download a ZIP file containing the exported data.
  4. Open the ZIP file, then open the CSV file (for example, your memos file) in Excel or another spreadsheet application.
