Close and archive a matter

Once a matter is finalized, you can mark it as Closed in Smokeball and enter the archive details. The day you close the matter will also be used as the Matter closed date. Note: Archive details are limited to Smokeball Grow/Prosper+.

Close a matter from within the matter

  1. Open the matter, then double-click on Info under Matter Details.
  2. In the Matter tab, choose Closed from the Status drop-down menu. blobid0.png
  3. Select OK.
  4. Optional: You can manually choose a closed date by selecting the Matter closed field and entering the date of your choice. 

Close a matter from the list of matters

  1. Navigate to the Matters section from the left panel, then locate the matter in the matter list.
  2. Right-click on the matter.
  3. Hover over the Change Status option and select Closed.

Archive a matter

Once the matter is closed, the archive section appears when you double-click the Info field under matter details. Use the archive function when any physical files associated with the matter are stored at an off-site location.

Note that:

  • The Archived Date defaults to today’s date.
  • The Destroy Date defaults to today’s date + 7 years.
    • Both the Archived Date and Destroy Date can be manually overridden. 

View closed matters

  1. Select the Status filter dropdown menu on your matter list.
  2. Change the Status field to the Closed option only. blobid3.png
  3. The matter list will then refresh and only display closed matters.

Did You Know 

  • It is also possible to close a matter by selecting the Open button in the matter header and choosing Closed from the drop-down menu.

  • Matters cannot be permanently removed from Smokeball, even if they are closed or deleted.
  • If you close a matter, any calendar events associated with the matter will not be automatically removed. If you wish to remove calendar events associated with a closed matter, you must do so manually.
    • The most efficient way to do so is by navigating to the Events tab of the matter and holding down the Ctrl key while clicking each event you wish to delete to select multiple events. Once you have selected all the events you wish to remove, right-click on a highlighted event and then select Delete.
