Smokeball has a built in Phone Messages feature. Rather than write down a message on a post-it note or message slip, you can use Smokeball to notify your attorneys or staff that someone called. Phone Messages give you the option to leave detailed notes and email the staff member responsible for returning the call.
Once created, a phone message will appear under your matter’s tasks, matter’s timeline, and Dashboard. More importantly, since a phone message creates a task, it is easier to track when someone calls a client back.
Phone Message Basics
- Select the Phone Message button on the Action Bar and work from the top down.
- Select recipients using the Message for dropdown menu. It is possible to add multiple recipients.Â
- Enter the Caller's name. Smokeball will search your contacts and add details from the contact.
- Choose various message options and enter detailed notes.
- You can also alert all the recipients using the Notify via email checkbox.
- Select Save.
Phone messages will appear in the the Daily Digest on your dashboard. You can also view phone messages in your matter's timeline and tasks.Â

You can create phone messages from the home screen, but make sure you assign an appropriate matter (if applicable).
Create a phone message in the web app
There are two ways to create phone messages in the web app:
- Quick add a phone message using the Create New button.
- Select the New Phone Message button from the global Tasks view or the Tasks tab on your matter.
