Create Public and Private Channels for staff communications

Learn how to streamline communication between staff members by creating Channels in the Messages tab of Smokeball.

  1. Click on the firm-wide Messages tab.

  2. Select the Plus (+) icon next to Channels.

  3. Enter a name for your channel, e.g. "Office Announcements".
  4. Select the Add People drop-down and tick staff members to add to the channel. You can also enter their names in the search bar to find them.

  5. Enter a Description for this channel.
  6. Set the Visibility of this channel to either Public or Private.

    • Setting a channel as Public allows any staff member to use the search bar at the top of the Messages tab to find the channel name and join the channel themselves.

    • Setting a channel as Private makes the channel unsearchable by staff members who haven't been added to the channel by the channel creator.

  7. Select Create.

Search for a Public Channel

The search bar at the top of the Messages tab can be used to search for Public Channels. Enter a minimum of 3-4 characters for the search to begin. 

We recommend adding a hashtag (#) at the beginning of your search query if you are looking specifically for channel names. Otherwise, the search will bring up results from existing conversations you have with staff or clients.

Add or remove participants in a channel

Once a Channel has been created, you can view, add or remove the staff members of this channel by selecting the Info icon, then selecting the Participants tab.

  • To add a staff member, search for them in the search bar or find their name at the bottom of the list, then click Add.

    You can also add yourself to a Public Channel using this method.

  • To remove a staff member, hover over their name and click Remove.

  • To remove yourself from the channel, select Leave Channel. You will then no longer be notified of any new messages in this conversation thread.
