Supio Integration

Supio is an AI-powered document intelligence platform built for personal injury law firms. The Smokeball integration allows Supio to automatically sync your cases into Supio twice daily — pulling in case files and basic matter information so your team can run AI-powered analysis, generate medical chronologies, produce demand letters, and more, without manual uploads or duplicated effort.

 

Before You Begin

To set up this integration, you will need:

  • An active Smokeball account
  • An active Supio account
  • Your Supio Customer Success Manager (CSM) must complete a one-time backend activation before syncing begins

How to Set Up the Supio Integration

Setup takes place in two parts: you authorize the connection from within Supio, and then your Supio CSM activates the sync on the backend. Follow the steps below.

 

Step 1: Install the integration in Supio

Action required: You (Smokeball / Supio user)

From inside your Supio account, complete the following:

  1. Navigate to Apps in Supio.
  2. Scroll down and locate Smokeball in the integrations list.
  3. Click Install.
  4. Click Connect to authorize the connection between Smokeball and Supio.

 

Step 2: Contact your Supio CSM to activate the integration

Action required: Supio Customer Success Manager

After you have connected the integration in Step 1, your Supio CSM must enable the sync on Supio's backend before cases will begin flowing through. Please reach out to your CSM to request activation.

⚠️ Important: The Supio integration will not sync cases until Supio's team has completed their backend activation step. Cases added in Smokeball before activation is complete will not be missed — they will sync on the next scheduled run after activation.

Your CSM will notify you once the integration is live and cases are ready to sync.

 

Step 3: Configure which cases sync to Supio

Action required: You (Smokeball user)

Cases are synced to Supio based on a task trigger in Smokeball. You control which cases are sent to Supio by adding a specially named task to each matter you want synced.

  1. Open any case in Smokeball that you want synced to Supio.
  2. Navigate to the Tasks tab within that case.
  3. Add a new task that includes the word supio anywhere in the task name. The word is not case-sensitive — Supio, SUPIO, and supio all work.
  4. Assign the task to a team member. We recommend assigning it to yourself. A team member assignment is required for the trigger to work.
  5. Optionally, add one or more categories to the task to tell Supio which AI outputs to generate for that case (see the table below).

💡 Tip: If no categories are specified, Supio will still sync the case and make files available for manual AI analysis — categories only control which automated outputs are generated.

Supported Supio Output Categories

Add any of the following categories to the task to request specific AI-generated outputs from Supio:

How the Integration Works

Automatic Sync Schedule

  • Supio checks Smokeball for new cases twice per day (every 12 hours). You do not need to manually trigger a sync.
  • Once a case is synced, all associated files and basic matter information will appear in your Supio account automatically.
  • From Supio, your team can use document intelligence features to analyze records, run AI queries, and generate outputs for the case.
  • Cases that already existed in Smokeball before the integration was enabled will be picked up on the next sync run after activation — no cases are skipped.

What Syncs to Supio

When a case is synced from Smokeball, Supio receives:

  • Basic case/matter information (names and matter type)
  • All supported files and documents associated with the matter in Smokeball (PDF, DOCX, Email files, MP3, MP4, and most image formats)
  • Any AI output categories you specified via task categories

 

Linking Existing Cases

If you have cases that were manually created in Supio and you want them to correctly sync with their corresponding Smokeball matters, contact your Supio CSM and provide the matter IDs for those matters in Smokeball.

Finding a Matter ID in Smokeball Web

When viewing a matter in the Smokeball web app, the matter ID appears in the URL. For example:

https://app.smokeball.com/#/billing/view-matter/12345678-abcd-0123-abcd-12345678/dashboard

The matter ID is the segment between /view-matter/ and /dashboard — in this example: 12345678-abcd-0123-abcd-12345678.

Finding a Matter ID in the Smokeball Desktop App

The matter ID (also called the Internal Reference Number) can be found in two places within the desktop app:

  • Matter summary: Open the specific matter — the Internal Reference Number is listed at the top of the matter, often alongside the client name or under a Reference field.
  • Edit Matter: If the reference number is not visible at the top, click Edit Matter to locate the Internal Reference field.
  • Firm Settings: To change how case IDs are automatically generated across your firm, go to Firm Settings → Internal Reference.

 

Troubleshooting & Common Questions

Issue Resolution
Case is not appearing in Supio Confirm the task on the matter includes the word "Supio" in its name and that a team member is assigned to the task. Also confirm your CSM has completed the backend activation step.
Integration is not connecting Return to the Apps section in Supio and re-attempt the Connect step. If the issue persists, contact your Supio CSM to verify credentials and connection status.
AI outputs are not being generated Ensure the desired output categories (e.g., Supio-Chronology, Supio-Liability-Demand) are added to the task in Smokeball before the next sync window.
Existing Supio cases are not linking to Smokeball matters Contact your Supio CSM and provide the Smokeball matter IDs for the affected cases. See Linking Existing Cases above for how to locate matter IDs.
