Turn event attendance into client follow-up.
Overview
TicketBooth is event and ticketing software for firms that run seminars, CLEs and client events. The TicketBooth for Smokeball integration sends your event attendees into Smokeball as Contacts and creates a follow-up Task for every event they attended, so your team knows who to contact after each event.
What the integration does
- Creates or updates a Smokeball Contact for each person in your TicketBooth Address Book, with their name, email, phone and job title.
- Links each contact to their employer organization.
- Creates a follow-up Task in Smokeball for every event a contact attended.
- Brings your existing Smokeball contacts into your TicketBooth Address Book when you click Sync, so you don't start from an empty list.
- Matches existing contacts by email, so nobody is duplicated.
The integration works with contacts and tasks only. It never reads or changes matters, billing or trust accounting.
Before you start
You need:
- A TicketBooth account with admin or manager access.
- A Smokeball login for the staff member who should own the follow-up tasks. Tasks are created by, and assigned to, the person who connects the integration.
Connect TicketBooth to Smokeball
- Sign in to TicketBooth and open the Address Book.
- In the CRM bar at the top of the page, click Connect on the Smokeball card. If Smokeball isn't shown there, click + more at the end of the CRM bar, then click Connect next to Smokeball.
- Sign in with your Smokeball account and approve access.
- You're returned to TicketBooth, and the Smokeball card shows as connected.

Sync your contacts
Click Sync on the Smokeball card. One click works in both directions:
- Smokeball contacts that aren't in TicketBooth yet are added to your Address Book. A banner shows how many were added.
- Your TicketBooth contacts and their event attendance are sent to Smokeball. The card shows Sending to Smokeball… while this runs and Synced just now when it's finished.
A sync in progress.
The sync has finished.
You don't need to click Sync after every change. When you save a contact in TicketBooth, it's sent to Smokeball automatically, and TicketBooth sends all updates to Smokeball every night. The automatic and overnight syncs only send data to Smokeball; your Smokeball contacts are only read when you click Sync.
A sync of a large Address Book can take a few minutes. You can keep working while it runs.
Follow-up tasks
For each event a contact attended, TicketBooth creates one Task in Smokeball:
- Subject: Follow up: <event name>
- Due date: 3 days after the event
- Created by and assigned to: the staff member who connected the integration
A contact who had several tickets to the same event gets one task, not one per ticket. Syncing again never creates a second task for the same contact and event.
Finding synced contacts in Smokeball
Synced attendees are regular contacts, not clients, so they don't appear under the default Clients filter in your Smokeball contact list. Set Roles to All to see them. Each contact's employer appears in the Organization column.

Name, email, phone and, where your Smokeball company records include it, employer. Contacts without an email address are skipped. If a contact already exists in TicketBooth, it's linked to the Smokeball contact and left unchanged.
Frequently asked questions
Will the integration create duplicate contacts?
No. Contacts are matched by email address. If a person is already in your Smokeball, TicketBooth updates that contact instead of creating a new one.
What happens when I delete a contact?
Deleting a contact in TicketBooth doesn't delete it from Smokeball, and a later sync won't bring it back into TicketBooth.
Does the integration access matters, billing or trust accounting?
No. It only uses contacts, tasks and your staff list (to identify who connected the integration).
How is our data protected?
You connect through Smokeball's own sign-in, so TicketBooth never sees your Smokeball password. The access token TicketBooth holds is encrypted and stored in Microsoft Azure in the United States.
Can we connect more than one Smokeball account?
No. Each TicketBooth account connects to one Smokeball firm.
The Smokeball card says "Connection error". What should I do?
Click Reconnect on the card and sign in to Smokeball again. If the error comes back, contact Ticketnology support.
How do I disconnect?
Contact Ticketnology support and we'll disconnect it for you. Disconnecting stops all syncing and deletes the stored access token. Contacts and tasks already in your Smokeball stay there.
