Eve is an AI-powered legal workspace that helps law firms review matter documents, find important information, and complete legal work more efficiently. The Smokeball integration automatically brings matter information and documents into Eve, eliminating the need to upload files manually.
Before You Begin
To connect the integration, you will need active Eve and Smokeball accounts.
How to Set Up the Eve Integration
Setup is completed from within Eve:
- Sign in to Eve.
- Open Settings.
- Navigate to Case Management Systems and select Set up.
- Select Smokeball.
- Sign in to Smokeball when prompted and authorize Eve to access your matters.
- Complete the connection process in Eve.
Once connected, Eve will begin importing your Smokeball matters and documents. The initial sync may take a couple of hours, depending on the number of matters and documents being imported.
No additional activation by Smokeball or Eve support is required.
How the Integration Works
Automatic Nightly Sync
Eve automatically syncs with Smokeball each night.
During the nightly sync, Eve:
- Looks for new eligible matters in Smokeball.
- Imports new matters into Eve.
- Refreshes previously imported matters with updated matter information.
- Syncs new and updated documents from Smokeball.
- Updates the status of matters that have been closed or cancelled in Smokeball.
Eve currently imports matters with an Open or Pending status. Matters already connected to Eve will continue to receive status updates if they are later closed or cancelled.
You do not need to initiate the nightly sync manually.
On-Demand Sync
You can also request a sync without waiting for the nightly update.
To look for newly created Smokeball matters:
- Open All matters in Eve.
- Use the Sync new matters or Resync action in the page header.
To refresh an individual matter:
- Open the matter in Eve.
- Open its Smokeball Sync Status.
- Select Sync.
An individual matter sync refreshes that matter’s information and documents from Smokeball. Eve displays the most recent completed sync time and indicates when a sync is in progress.
What Syncs to Eve
The integration can bring the following information from Smokeball into Eve:
- Matter name and number
- Matter status
- Opened date
- Matter description and matter type
- Responsible and assisting staff
- Client and other-party contact information, including available email addresses and phone numbers
- Matter memos
- Documents and their Smokeball folder organization
Configuration
The Eve integration does not currently provide user-configurable sync options. Eve automatically applies its standard matter mapping and document-sync behavior.
Troubleshooting and Common Questions
A new matter is not appearing in Eve
Confirm that the matter has an Open or Pending status in Smokeball. You can then run Sync new matters from the All matters page or wait for the next nightly sync.
Changes to an existing matter are not appearing
Open the matter’s Smokeball Sync Status in Eve and select Sync. Allow the sync to complete, then refresh the matter.
The integration is no longer connecting
Go to Settings → Case Management Systems in Eve, locate Smokeball, and reconnect the integration. Sign in to Smokeball again if prompted.
A sync is taking longer than expected
Initial imports and matters containing many documents may take longer to finish. Eve displays the sync status and the time of the last completed sync.
