Hearsay is a pay-per-use evidence collection and review platform for law firms – e.g. text messages directly from mobile devices, collect emails directly from inboxes, and transaction history directly from bank accounts, in their raw formats with all metadata preserved. The Smokeball <> Hearsay integration keeps Hearsay and Smokeball in sync, so collected evidence lands in the right Smokeball matter, in the right format, without anyone moving files by hand or maintaining two parallel case lists.

How the integration works
The integration can be bi-directional or configured to sync only one way. Each sync below is an independent toggle - turn on only what your firm needs and in the right format without any complicated configurations.
Auto-create cases - when a new matter is created in Smokeball, a matching Hearsay case is created automatically, so your case lists never drift apart.
Uploaded Files - case files uploaded to Hearsay sync back to the linked Smokeball matter so your clients only need to upload once and everything in the same place. Include Lists of required documents to help guide your clients to what needs uploading.
Extracted evidence - when a native data source is collected using Hearsay, the data is automatically exported in the appropriate review-ready format (e.g., PDF, RSMF) and pushed to the Smokeball matter on request. Emails, device data, and financial records each have their own toggle, as do exported reports and outputs.
Anything not listed above stays put - only these three syncs move data between Hearsay and Smokeball.
What you need:
- An active Hearsay account with administrator access - sign up at usehearsay.com
- An active Smokeball account
- The Smokeball login credentials of a user with access to the matters you want to sync
Set up the integration
Step 1 - Connect: in Hearsay, go to Integrations in the left navigation and select Connect to Smokeball. Sign in with your Smokeball credentials and authorize the connection.
Step 2 - Choose your syncs: on the same page, enable the syncs your firm wants.
- Inbound sync (Smokeball → Hearsay): Auto-create cases from matters and Sync documents.

Outbound sync (Hearsay → Smokeball): Case files, Emails, Mobile Phone Data, Financial records, and Exports. Each is a separate toggle.
Step 3 - Done: from now on, new Smokeball matters appear in Hearsay automatically (if auto-create is on), and you can link existing cases at any time.
Link an existing matter
You can link a Hearsay case to a Smokeball matter in two places: when creating the case, or at any time afterward from the case's Case Settings tab - select Link to Smokeball matter, then search for and select the matter. Once linked, all enabled syncs apply to that case.
Security and data handling
Evidence is sensitive by definition, and the integration is built accordingly. Hearsay maintains a SOC 2 Type II attestation with annual independent audits and annual penetration testing. All customer data is encrypted in transit and at rest, hosted on AWS in the United States. The integration requests only the data elements required for the sync workflow, and credentials are stored encrypted server-side - never exposed to the browser.
Troubleshooting & FAQ
I created a matter in Smokeball but no case appeared in Hearsay. Check that Auto-create cases from matters is enabled on the Integrations page.
Can we run the integration one-way? Yes. Every sync is an independent toggle, so you can, for example, push collected evidence to Smokeball without pulling any documents into Hearsay.
What format does collected evidence arrive in? Hearsay exports each source in a review-ready format appropriate to the data type - for example, text message collections as RSMF or PDF - and pushes it to the matter on request.
Where do pushed files land in Smokeball? In the linked matter's Documents.
How do we disconnect? From the Integrations page - an individual user can disconnect just their account, or an admin can disconnect the entire organization.
