Set up a document review Task View

Available on Smokeball Grow and Prosper+

Easily view all document review tasks with a task view, ensuring that all documents are captured in your document review process

The Task View is accessed from the Tasks tab on the left menu in Smokeball.

Before you begin, set up your firm's preferred review category - this must be completed in order for the Task View to work.

Set up a preferred review category

  1. When creating a new document review task, navigate to the Smokeball tab and select Task.

  2. Enter the details of the document review task.
  3. In the Category field, enter the review category name you wish to apply to your document review tasks in order to start tracking them.
    • Category names could be Review Workflow, Documents to Review.
    • Press enter on your keyboard to confirm the category name and create it. The field should look similar to this:

  4. Select Save. When you create a new document review task, the review category can be selected from the dropdown menu.

Create the Tasks View

After adding your firm’s document review category to all review tasks, you can keep track of them in the Tasks tab.

  1. Select Tasks from the left menu in Smokeball.
  2. In the Categories drop-down menu, select your firm’s review tasks category.

  3. To save this view, select Add new view at the bottom of the filter panel.

  4. Select all required filters in the Status, Created and Other sections.
  5. Ensure the Categories dropdown has the Review category.
  6. Select Add to my Views to save. When naming the view, name it Review Tasks or something similar.
  7. When accessing the My Views section, you can see the number of review tasks.

  8. Make sure to use the Client Portal to send a message to the request submitter, notifying them that the request has been approved.

Edit the Tasks View

To make further changes to the Tasks View: 

  1. Hover your mouse over the view name.
  2. Select the arrow icon to expand the view filters.

  3. Make changes to your filters, then select Save View.
  4. To rename the view, right-click on the name and select Rename.
