Create a Purchase (NSW) matter from the Contract of Sale

Learn how to automatically populate a new Purchase (NSW) matter with details from a Contract of Sale PDF using the InfoTrack integration.

There are two ways to create the matter from a Contract of Sale:

  • From the Contract of Sale PDF in an email sent from the agent or your client 
  • From uploading the Contract of Sale PDF to the New Matter window in the Smokeball desktop app

Creating a new matter from a Contract of Sale received via email

If your client has sent a Contract of Sale PDF document via email, you can use the Outlook integration to create the new matter.

  1. Open the email in the Outlook app, then select the arrow icon next to the Contract of Sale attachment.
  2. Select Create New Matter.

The new matter will be created in Smokeball, and the fields will be automatically populated from the Contract of Sale document. The Contract of Sale PDF will also appear in the matter's Documents list.

Uploading the Contract of Sale to a new matter

If you have the InfoTrack integration enabled, you can upload a Contract of Sale PDF from your computer to create a new Purchase (NSW) matter.

  1. In the Smokeball desktop app, select New Matter from the Smokeball action bar.
  2. Select the Purchase matter type.
  3. Under the Pre-populate this new matter section, select Browse and double-click on the Contract of Sale PDF from your computer files.

  4. Select Create.

Upon selecting Create, Smokeball will automatically populate the matter details from the Contract of Sale document. The Contract of Sale PDF will also appear in the matter's Documents list.

List of fields that are mapped to the new Purchase matter

The following data from the Contract of Sale PDF will be automatically populated in the new matter:

  • Real Estate Agent's address, phone, email, reference
  • Vendor's name and address
  • Vendor’s Solicitor's address, phone, email, reference
  • Completion Date/Settlement Date
  • Property Address
  • Folio Identifier/Title reference
  • Purchaser/s, including address
  • Purchase Price
  • Deposit Total
  • Balance on Contract
  • Contract Date
  • Joint Tenants/Tenants in Common
  • GST Amount
