Adding multiple contacts to matter details

If your matter involves multiple people in one party, such as having two purchasers on a matter, you can record them in two different ways:

Read on to decide the best approach for your scenario.

Adding individual contact cards to the role

Example scenario: There are two purchasers on this matter. Purchaser 1 and Purchaser 2 have separate details so I want them on different contact cards.

This is suitable for:

  • Parties who have different addresses so that you will write to them separately.
  • Parties who are transacting in the capacity of Trustee
  • Parties who are involved in a Nomination (VIC Conveyancing only)

To add to a role:

  1. Right-click on the role, then select Add or Add existing. The menu names change depending on the role you select (e.g. select Add Purchaser or Add an existing Purchaser if you have right-clicked on the Purchaser role).

  2. Choose whether it's the same Solicitor or a different Solicitor.

  3. If you selected to add a new contact, enter their contact details.

Party names will then appear on separate lines in the Matter Details section.

When creating a new letter, the additional contact will be available to choose from in the recipient list.

Add Multiple parties on the same contact card

Example scenario: There are two purchasers in this matter. Purchaser 1 and Purchaser 2 are married and living at the same address, so I want them on the same contact card.

This is suitable for:

  • Parties who share the same address and you will write to them together
  • Parties who are not Trustees nor involved in a Nomination

To add to the same contact card:

  1. Double-click on the contact from the Matter Details section. This will open their contact card.
  2. Select Add Another Person.

  3. Enter the contact details of the second person, then select Save.

Both party names will then appear on the same line in the Matter Details section.

When creating a new letter, they will be addressed together on the recipient list.
