Automation Request Overview

Smokeball includes a team of legal configuration specialists who review and process the documents you submit for automation. To ensure automation proceeds efficiently, you should keep the following parameters in mind:

  1. All documents submitted to Smokeball must be in Microsoft Word (.docx) format and in batches of 10. These documents should also be ordered in terms of importance to you.
  2. Smokeball is not compatible with Word Perfect. 
  3. Smokeball's Legal Configuration Team will not edit or draft language on your behalf.
  4. The Legal Configuration Team will carry out minor formatting fixes to ensure that the automated documents will perform optimally.
  5. Any templates with content from legacy software (e.g., HotDocs, Time Matters, etc.) other than Smokeball must have the legacy automation content removed before you submit your documents for automation. 

You should also include the following information along with your automation request:

  1. The matter type(s) you intend to use the form(s) in. 
  2. The folder you wish for the legal configuration team to place the finished templates in.
  3. Any special instructions/information you have (e.g., conditional language, font style/size, line spacing, etc.)

Note: Our team will create two versions, one for each client, for estate planning templates such as POAP and POAH. 

Submit a Document for Automation

If you are ready to submit a document for Smokeball to automate, follow the process below to ensure it gets to our team.

  1. Open your matter and select the Forms & Templates button. blobid0.png
  2. Select a destination folder for your document using the leftmost menu in the Form Library pop-up window. blobid1.png
  3. Right-click on the selected folder and select Import documents. blobid2.png
  4. Select the Browse button, choose the folder which has the documents you wish to automate, and then select the OK button. blobid3.png
  5. Use the Import Documents from Folder window to filter documents by the date they were last accessed and then select the Import button. Select Yes when prompted to complete the import. 
    • Note: Only Word documents can be automated. blobid4.png
  6. Right-click on the imported document and select Request Automation.
  7. Read the Request Automation prompt and enter information into the text box. Once you have entered this information, select the Send button. blobid5.png
