Smokeball has the ability to send past due reminders to clients with no new time or expense entries to be invoiced. This feature is helpful for any clients that do not require a new invoice to be sent out but still have a balance due.
Past Due Reminders Setup and Settings
Select the gear icon and then select Firm Settings.
Select Email Templates and then select Invoice Reminders.
- Invoice Reminder settings allow you to set the email template and add options to the invoice reminder.
- Edit the email template. All available placeholders are located as you scroll down.
- You can choose to send a copy of the email reminder to the user logged in to Smokeball Bill.
- You can also preview the Invoice Reminder.

- Scroll down to add in any custom notes, choose to show an account summary, and save your settings.
Add a Pay Now button to your Past Due Invoice Reminder
- You can add a Pay Now button to your invoice reminder so long as you have an active LawPay integration.
- Click on the location in the Email Body where you wish to insert the button and then use the dropdown menu to select [PAY_NOW_BUTTON] - Pay Now Button.
- Select Insert.
- Note: The Pay Now button will not display in the reminder email if it has been disabled on the matter.
How to Send Past Due Invoice Reminders
You can find reminders on the Invoices tab as shown below:
- There are a variety of filters to narrow down which reminders you want to send.
- Select which debtors to send reminders to using the checkboxes.
- Choose Combine PDF for printing or downloading. Choose Email Reminder to email directly from Smokeball Bill.
- Once a Reminder has been sent via email, the Last Reminder column will show the date the reminder was last sent.
- Select the three dots icon (...) to preview, view, or email an individual reminder.
- If a client has several past due invoices, select the arrow to see more details and select individual invoices.
- Below is an example of an email of the reminder and the attached Past Due Invoice Reminder.

You can filter how invoice reminders are to be sent by using client communication preferences and manually mark them as sent in bulk.
