Using Smokeball with Microsoft 365

Smokeball is best optimized to work with Microsoft Office 365, and we highly recommend that you start using Office 365 to take full advantage of our software. With Office 365, you can seamlessly send data from Smokeball into Microsoft Word documents and Microsoft Outlook emails, integrate your calendar with Outlook, and experience better technical support.

This article will explain how to migrate to Office 365 and begin your transition to Smokeball. 

How to Switch to Office 365

If you have yet to install Office 365, or if you are using Google Workspace/Gmail for your email and calendar, then there are steps you should take before you start using Smokeball. Select the link based on your current setup to get more information:

 

I Already Use Office 365

 

If you are already using an installed (a.k.a. local) version of Office 365, no further action is needed. 

Note: if you use a web browser to access Outlook or Word, then you are not using the local version of Outlook 365. We recommend that you download and install Office 365 on all personal computers where Smokeball will be installed. You can download the local version of Office 365 on up to 5 devices.

To install a local version of Office 365:

  • Login to your Microsoft account at office.com
  • Click the Install Office button (see the screenshot below for reference) and follow the on-screen instructions.
  • Once Office 365 is installed, we would recommend setting up Outlook.

 

I Use an Older Standalone Version of Microsoft Office (2013 and 2016)

Older versions (Office 2013 and Office 2016) are compatible with Smokeball but will not offer the same level of functionality. We still recommend that you upgrade to Office 365.

If you are not sure whether your current installation of Office has been upgraded to Office 365, please refer to the following instructions to doublecheck.

If you are ready to upgrade to Office 365:

  1. Visit the Microsoft Office 365 page to start the upgrade.
  2. Select the Install Office button and follow the on-screen instructions.
  3. Set up Outlook after Office 365 is installed. 

 

I Use Gmail for Business with Google Workspace

 If you currently use Google Workspace applications but do not use Outlook for managing your email and calendar, you can migrate your Gmail to Microsoft Exchange or keep using your Gmail with Outlook.

Tip: If you choose to migrate to Office 365 from Google Workspace, contact your IT consultant or reach out to your account manager to be connected to Smokeball's preferred IT partner network. This will ensure the smoothest possible transition.

 

I Use a Free Gmail Account

You can also take advantage of Smokeball’s email integration with Microsoft Outlook if you use a free Gmail account:

  1. Before setting up Microsoft Outlook, enable Gmail less secure apps.
  2. Setup Microsoft Outlook.
  3. Once the migration is complete, start using Outlook for all email correspondence and calendar events by exporting your Google Calendar.

You will not be able to sync your previous calendar with Outlook with a free Gmail account. If you wish to migrate or sync your Google calendar, you will first need to upgrade to Office 365 or Gmail for Business.
